Job Title: Administrative Assistant for University Relations

Reporting Relationship: Executive Director for University Relations

Unit: Central Administration

Department: Advancement & Alumni 

Campus Location: Alumni House

Summary of Position:    The Administrative Assistant for University Relations performs diversified duties that include office management, executive assistant support for the University Relations office, along with clerical and organizational support for the various Alumni Office internal constituents.


Duties and Responsibilities

  • Provide administrative support for the Executive Director of University Relations (EDUR) and University Relations Team Members including answering phones, composing correspondence, maintaining files, distributing and processing daily mail, and ordering office supplies
  • Greet and assist visitors to the Alumni Center
  • Assist with maintaining calendars, scheduling meetings, and organizing travel arrangements for the EDUR and University Relations team members
  • Monitor budgets, reconcile purchasing cards, prepare expense reports, and process invoices for the EDUR and other University Relations team members
  • Proof various correspondence from University Relations office
  • Submit and monitor work orders as needed for the Alumni Center
  • Provide support with special projects and alumni-related events, such as graduation and Homecoming
  • Maintain accurate alumni records, including contact and employment information and mail preferences
  • Provide a high level of service while serving as point of contact for the alumni e-mail address and phone number
  • Support the electronic presence of the Alumni Association through social media, the Alumni Association app, the monthly Alumni e-newsletter, and Alumni Blog
  • Assist the Administrative Assistant to the VPUA and Development Assistant to ensure the University Advancement team is best supported and team goals are met
  • Supervise Alumni Center Student Workers

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • Bachelor’s Degree (preferred); IWU degree preferred

Experience

  • Three to five (3-5) years of experience in an office setting

Required Skills

  • Proficient in Microsoft Office, Excel, and electronic communications
  • Passion for Indiana Wesleyan’s world-changing mission
  • Effective interpersonal, organizational, writing, and research skills
  • Strong understanding of the confidential nature of alumni and donor information
  • Ability to communicate effectively with a variety of constituents including alumni, pastors, students, faculty, and staff
  • Ownership mentality, with the persistence to independently see tasks through to completion
