Summary of Position: The Executive Assistant to the Executive Vice President/CEO provides high-level administrative and professional support, ensuring efficient office operation. This role involves handling sensitive and confidential information with discretion and maintaining professional interaction with internal and external stakeholders. The Executive Assistant serves as a pivotal resource in organizing and streamlining administrative tasks to support the strategic priorities of the Executive Vice President/CEO.
Duties and Responsibilities
Administrative Support:
Manage the complex scheduling requirements of the Executive Vice President/CEO, including appointments, meetings, and travel arrangements
Supervise student workers or grad students on behalf of the EVP/CEO office
Communication Management:
This position oversees all forms of communication, including drafting and managing digital and physical correspondence, letters, reports, and presentations for internal and external audiences
It also entails maintaining an internal digital page (e.g., SharePoint)
Event and Meeting Coordination:
Organize and support the logistics for various events, such as board meetings, conferences, and seminars
This includes preparing agendas and minutes and facilitating necessary equipment and materials
Collaborate with the Lead Team, Board members, and other Executive/Administrative Assistants in projects advancing Wesley Seminary and IWU’s mission
Document and Project Management:
Maintain accurate records and manage projects, ensuring alignment with seminary goals and timely completion
Financial Oversight:
Assist in budget preparation, monitor expenditures, and handle invoicing and reimbursement processes
Strategic and Analytical Support:
Prepare reports and provide research and analytical support on various initiatives to aid the Executive Vice President/CEO in making decisions
Hospitality Management:
Ensure that internal and external stakeholders and visitors are received professionally and that arrangements related to hospitality are managed to the highest standards, reflecting the Seminary's values and ethos, creating a warm and caring environment
This entails communicating births, illnesses, etc., among faculty, board members, staff, and donors. It also ensures that the building, its common areas, and office spaces are in optimal condition
Other duties as assigned by EVP/CEO
Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.
Education
Bachelor’s Degree required; Masters preferred
Experience
Previous experience as an executive assistant to a top-tier leader
Required Skills
Superior cross-functional oral and written communication skills
Exceptional computer skills with Office 360 and other project and data management software and systems
Outstanding relational skills, emotional intelligence, and multicultural awareness
Ability to represent the Office of the EVP/CEO with professionalism
Event planning experience
Outstanding organizational skills
Capacity to maintain confidentiality and compliance with FERPA laws
