Job Title: Acquisitions Coordinator

Reporting Relationship: Dean of University Libraries

Unit: IWU-Marion

Campus Location: Jackson Library (Marion, Indiana)

Summary of Position:    The Acquisitions Coordinator facilitates the acquisition of library materials, coordinates procurement processes, and is University Libraries’ primary liaison with vendors and publishers.


Duties and Responsibilities

  • Collection Development:
    • Develop and implement strategies for acquiring library materials, including books, journals, databases, multimedia resources, and other relevant materials
    • Maintains and analyzes acquisition data for annual reporting needs and collections-based decision-making
    • Streamlines workflows to enhance cataloging efficiency and integrate newly acquired materials into the library's collections
  • Budget Management:
    • Provides administrative support to the Dean of University Libraries in adhering to and maintaining the acquisitions budget effectively, ensuring responsible allocation of funds across various formats and subject areas
    • Negotiates favorable terms with vendors and publishers to maximize resources and minimize costs
    • Oversees the documentation of acquisitions, maintains accurate records, and prepares reports for library administration
    • Monitors expenditures and prepares regular reports for library administration
  • Vendor Relations:
    • Cultivates and maintains positive relationships with vendors and publishers
    • Coordinates with vendors to ensure timely delivery of materials and resolves issues related to orders, shipments, and invoicing
    • Evaluate vendor performance and participate in vendor selection processes
  • Electronic Resources Management:
    • Manages electronic resource acquisitions, including subscription databases, e-journals, and e-books
  • Licensing Compliance:
    • Negotiates license agreements for electronic resources, ensuring compliance with copyright laws and licensing terms
    • Monitors license terms and usage statistics to ensure adherence to contractual obligations
  • Workflow Optimization:
    • Continuously assesses and streamlines acquisition workflows to improve efficiency and effectiveness
    • Identifies opportunities for process automation and implements technological solutions where applicable
    • Collaborates with library colleagues to integrate acquisitions processes with other library functions

Education

  • Required qualifications include a Bachelor’s degree or equivalent work experience, with a preference for a bachelor’s degree in business or a related field

Experience

  • Candidates will have experience in budget management processes and proficiency in relevant software tools, with a preference for those with prior library work experience

Required Skills

  • Essential attributes include strong oral and written communication skills, attention to detail, proficiency in numerical tasks, and accuracy in all assignments
  • The ideal candidate demonstrates initiative, excels independently and as part of a team, and exhibits effective organizational, analytical, and problem-solving abilities
  • Additionally, the role demands adeptness in task switching and performing under time constraints
  • Proficiency in Office 365 applications, particularly Excel, and experience utilizing these tools effectively is required
  • Demonstrates dedication to ethical standards and confidentiality in handling sensitive business, personal, user, and vendor information
