Summary of Position: The Administrative Assistant for the Ron Blue Institute for Financial Planning will support the office operations. This individual will provide administrative assistance to the Chief Executive Officer, the Chief Operating Officer, Executive Vice President, Vice President, and Executive Director for the High School Programs.
Duties and Responsibilities
- Provides administrative support to the executive leaders of the Ron Blue Institute (RBOI) for Financial Planning
- Provides administrative assistance support to the RBI leadership team including, typing, copying, answering phones, coordinating appointments, taking messages, planning events, planning Board of Managers meetings, correspondence, handling incoming and outgoing mail, and distribution of books and materials
- Take minutes for weekly RBI team meetings, Board of Manager Meetings, and other key meetings such as with publishers, obtaining approvals, and correspondence as per the direction of the leadership team
- Receives telephone inquiries, determines nature of business, and tactfully answers operational questions or knows where to direct these inquiries for timely answers and solutions
- Creates systems for communicating with all clients (various levels); systematic, intentional, strategic
- Assists in the creation and management of a system for the distribution of all marketing materials
- Supports the development brochures, website pages, flyers, and email blasts
- Supports the management of social media accounts
- Edits manuscripts, executive leadership board reports, proposals, grants, letters, research papers, white papers, and other pertinent documents
- Processing invoices, budget transfers, accounts payable, expense reports, reimbursements and other financial matters
- Work with the Indiana Wesleyan University offices responsible for budget, payroll, IT, marketing, and communication and other offices in order to meet all assignment deadlines, policies/practice, etc.
- Organizes and maintains all office files (physical and digital) related to the overall administration of the Institute
- Assumes such other duties as may from time to time be assigned by the Leadership Team
- Some increased hours may be required a few weeks of the year (i.e., Kingdom Advisors Conference in February, RBI Board Meetings in May and November)
