Summary of Position: The EdD Program Support Specialist is dedicated exclusively to supporting the operational, administrative, and logistical needs of the Educational Doctorate (EdD) program. This role focuses on delivering high-quality service to students and faculty throughout the doctoral journey, from admissions to graduation. The specialist ensures data accuracy, coordinates milestones and documentation, and facilitates meaningful academic experiences for EdD candidates.
Duties and Responsibilities
Admissions & Enrollment Coordination
Process incoming student admissions surveys and route materials using Smartsheets and Etrieve
Deliver timely communications, including acceptance letters and Statement of Intent documents via DocuSign
Assign students to their appropriate cohort and manage entry into dissertation systems
Faculty Engagement & Committee Logistics
Coordinate with leadership to assign faculty chairs and committee members
Send formal invitations and thank-you communications
Maintain and update faculty records, including assignments, training status, and Brightspace access
Process New Teaching Agreements and issue stipends as appropriate
Student Milestone & Progress Monitoring
Record grades and milestone completions in Smartsheet, Brightspace, and Google Docs
Monitor dissertation and coursework progress; maintain paused student records
Track committee involvement and ensure accuracy across documentation systems
Program Engagement & Communication
Attend all EdD program meetings and assist with scheduling and note-taking
Facilitate surveys and celebratory initiatives (e.g., T-shirt distribution for milestone achievements)
Maintain and update key tracking systems for students and faculty participants
Graduation & Ceremony Support
Coordinate logistics for hooding ceremonies, including venue setup, printed programs, and recognition items
Liaise with marketing for materials preparation and handle vendor payments through Etrieve
Support faculty and student readiness for graduation documentation and processes

Education
High School Diploma required, Associates or some college preferred
Experience
Experience in academic program coordination, preferably at the graduate level
Familiarity with doctoral-level education structures and support needs
Demonstrated success in managing large datasets and complex tracking systems
Required Skills
Detail-oriented with excellent organizational and recordkeeping skills
Proficiency in Google Workspace, Smartsheet, Brightspace, DocuSign, and Etrieve
Strong interpersonal and communication skills
Ability to manage multiple priorities and maintain confidentiality
