Job Title: Administrative Assistant for Division of Music & Theatre and Athletic Bands

Reporting Relationship: Division Chair of Music

Unit: IWU-Marion

Department: Music-IWU Marion

Campus Location: Phillippe Performing Arts Ctr

Summary of Position:    The Administrative Assistant is responsible for providing comprehensive administrative support to the Division Chair and faculty. This role requires strong communication, organizational, and financial management skills. The ideal candidate will be a proactive problem-solver with a commitment to excellence.


Duties and Responsibilities

  • Maintain consistent and clear communication with students, faculty, visitors, prospective students, and other campus offices
  • Respond to inquiries and requests in a timely and professional manner
  • Assist with the development and distribution of division-wide communications
  • Assist the Chair and Director of Athletic Bands with communication to current and prospective students regarding student auditions, important dates and events, and other activities as needed
  • Manage student scholarships, including processing applications and disbursements
  • Reconcile credit card and receipt transactions
  • Assist the Division Chair with budget management and planning
  • Hire and supervise divisional student workers
  • Approve bi-weekly timecards and ensure accurate payroll processing
  • Collaborate with faculty and relevant offices to create and define new student worker positions
  • Maintain and update student records
  • Facilitate and organize audition day schedules
  • Assist with adjunct faculty scheduling and coordination
  • Manage building usage and reservations
  • Keep an accurate log for uniform and instrument check in/check out and repair/maintenance/dry-cleaning requests
  • Perform other administrative duties as assigned

Education

  • Associate degree/equivalent or two (2) years office experience

Experience

  • Office or administrative assistant experience preferred

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Strong interpersonal skills for relating effectively to faculty, staff, students, prospective students
  • Computer and keyboard proficiency
  • Ability to prioritize work
  • Ability to work independently
  • Good oral and written communication skills
  • Attention to detail and accuracy
