Job Title: Office Manager and Catalog Coordinator

Reporting Relationship: University Registrar

Unit: Central Administration

Department: Registrar's Office

Campus Location: Maxwell Center (Marion, Indiana)

Summary of Position:    Provides support in managing day-to-day office functions, documenting office processes, and coordinating the creation of the University Catalog.


Duties and Responsibilities

  • Reviews systems and processes to create efficiencies 
  • Documents systems and processes so processes can be repeated 
  • Annually reviews and updates processes 
  • Supports the degree conferral process 
  • Explores new technologies to support the work done in the Registrar’s Office and associated units 
  • Recommends the use of new technologies to streamline processes
  • Prepares enrollment letters as needed and other correspondence requested by students in IWU-Marion programs and IWU-National & Global programs 
  • Processes and updates data for Articulation Agreements and MOU’s 
  • Processes subpoenas and works with other offices to complete requests 
  • Completes all forms requiring the seal and signature of the University Registrar such as insurance/church relations/scholarship forms and degree verifications
  • Makes purchases for office 
  • Tracks and logs expenses 
  • Reconciles credits card
  • Understands and has a working knowledge of policies pertaining to student academic records
  • Answers phones, directing calls, and providing general information
  • Assists other areas as needed during peak/vacation cycles 
  • Assists with graduation and other events, as necessary 
  • Other duties as assigned 

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • High school diploma required
  • Some college preferred

Experience

  • Ability in Microsoft Office (Outlook, PowerPoint, Word)
  • Experience with Power Bi, Access, Excel, Querying information, and SharePoint are not required but preferred
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures

Required Skills

  • Computer knowledge and skills with experience in Microsoft Office
  • Organizational skills with the ability to manage several tasks simultaneously, prioritize projects and manage resources
  • Excellent oral and written communication skills
  • Attention to detail and accuracy skills
  • Ability to work independently or in a team environment
  • Ability to respond promptly to requests and calls
  • Ability to work in a busy environment with numerous interruptions
  • Ability to evaluate and troubleshoot
