Job Title: Academic Affairs Office Assistant  (11 Months)

Reporting Relationship: Vice President of Academic Affairs, IWU-Marion

Unit: IWU-Marion

Department: VPAA IWU Marion

Campus Location: Jackson Library (Marion, IN)

Summary of Position:    The Academic Affairs Office Assistant supports senior academic leadership and the day to day operations of the College of Arts and Sciences and the University Academics.


Duties and Responsibilities

  • Serve office guests with professionalism and a high level of customer service 
  • Maintain office culture of hospitality and professionalism 
  • Manage kitchen and Academic Affairs office hospitality
  • Supervise Academic Affairs student workers 
  • Manage calendars, meeting schedules and agenda development, specifically for the CAS VPAA/CAO and the Assistant VPAA 
  • Provide additional administrative support to the VPAA/CAO, and to the Assistant VPAA including:
    • Coordinate travel
    • Communicate with constituents in person, on the phone, via email or letters
    • Process financial requests, collect and organize receipts, reconcile credit cards, keep accurate financial records, submit check requests and journal entries, and produce budget reports as needed
    • Submit transportation requests, room reservations, work orders, etc.
    • Approve attendance for direct reports 
  • Gather and distribute CAS faculty announcements 
  • Coordinate with external vendors and faculty regarding new textbook submissions 
  • Oversee excused absence request system

Education

  • High school diploma required
  • Bachelor’s degree preferred

Experience

  • Minimum of five (5) years in professional administration; experience in higher education administration preferred
  • Experience working effectively with individuals from diverse communities and cultures

  • Ability to work effectively with individuals from diverse backgrounds
  • Personable, hospitable, and strong people skills
  • Strong interpersonal, written, and verbal communication skills
  • Well organized and able to manage multiple administrative tasks simultaneously
  • Self-starter with sound judgment, requiring minimal direct supervision
  • Working knowledge of basic financial procedures and best practices
  • Superb computer skills (Microsoft Office Suite) and data management skills
  • Strong work ethic and able to set and accomplish goals
  • Christ-like attitude and willingness to serve others
