Job Title: Coordinator of Academic Records and Operations

Reporting Relationship: University Registrar

Unit: Central Administration

Department: Registrar's Office

Campus Location: Maxwell Center

Summary of Position:    Reviews academic minutes for assistance in preparing the catalog and works with colleges and schools to ensure the accuracy of programs and policies. Fulfills requests for duplicate diplomas, and apostilles, and manages all diploma printing and mailing processes. Processes transcripts and enters transfer work on academic records. Assists with other office functions by providing assistance to any position within the office.


Duties and Responsibilities

  • Assists the University Registrar with special projects, events, and implementation of new procedures, scheduling appointments and meetings
  • Understands and has a working knowledge of policies pertaining to student academic records
  • Monitors certificate supplies needs and prints certificates for IWU and Ron Blue
  • Prepares athlete reports and records data for NAIA eligibility and awards 
  • Communicates with students regarding policies and procedures for transcript requests and works with third-party vendor in troubleshooting
  • Communicates with accounting offices concerning financial holds for transcripts and diplomas
  • Updates academic records with transfer work for IWU-Marion students

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • High School Diploma or equivalent required
  • Associate Degree or successful higher education experience preferred

Experience

  • Experience with the following would be beneficial but is not necessary:
    • Colleague Software
    • HTML
    • Imaging Software
  • Knowledge and ability in current database and reporting software
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures

Required Skills

  • Computer knowledge and skills with experience in Microsoft Office, Imaging and Database systems
  • Organizational skills with the ability to manage several tasks simultaneously, prioritize projects and manage resources
  • Excellent oral and written communication skills
  • Attention to detail and accuracy
  • Ability to work independently or in a team environment
  • Ability to respond promptly to requests and calls
  • Ability to work in a busy environment with numerous interruptions
  • Ability to evaluate and troubleshoot
