Job Title: Switchboard Operator

Summary of Position:    The Switchboard Operator supports the University by answering the campus switchboard and forwarding all calls efficiently and expediently. This position also provides clerical support for the Admissions Office.

Duties and Responsibilities

  • Answer all incoming calls to campus switchboard in a timely and courteous manner; transfer callers as requested. 
  • Collect and transfer student data from paper or electronic formats into Slate, which includes verifying data for accuracy. 
  • Update, retrieve and forward student data within Admissions, as well as to other departments as needed.
  • Maintain duplicate records in Slate, which includes maintaining sibling records. 
  • Assist with processing Data Entry (DE) requests from counselors, which includes troubleshooting file inconsistencies and electronically notifying RAS and Financial Aid. 
  • Communicate directly with Admissions Counselors with student data questions. 
  • Update phone directories routinely and with departments to confirm extensions. 
  • Train and assist student workers on switchboard.
  • Assist Associate Director with other miscellaneous duties as needed.

  • High School Diploma


  • Demonstrated ability to work effectively with individuals from diverse communities and cultures.

Required Skills

  • Systems and Technology: Demonstrates a strong knowledge of the systems, applications and technology used in the admissions process at IWU. Knowledge and proficiency include but is not limited to the Slate Customer Relations Management (CRM) tool, Colleague, Etrieve, and Word/Excel applications.
  • Team Player: Outstanding IWU Switchboard Operators are true “team players.” As such, they demonstrate the following characteristics: collaboration – working together towards a common goal; responsibility – knowing and doing what is expected; adaptability – a willingness to change as needed; and role modeling – leading by example.
  • Communication: Demonstrates winsome oral communication skills, offering knowledgeable, clear, friendly and empathetic responses to IWU constituent questions and requests. Understanding and adhering to FERPA guidelines is essential for this position. Accuracy and thoroughness are descriptors in all written communication.
  • Critical Thinking: Characteristic of IWU Switchboard Operators is the ability to solve problems independently, achieved through application of knowledge and experience, attention to detail and intuition. Utilizing good time-management skills, operators are effective multi-taskers.
