Job Title: Administrative Assistant to the Vice President for External Affairs

Reporting Relationship: Vice President for External Affairs

Summary of Position:    Administrative Assistant to the Vice President for External Affairs will provide support to the President’s Office and act as liaison with IWU marketing agencies. This position will report to the Vice President for External Affairs.


Duties and Responsibilities

  • Perform a wide variety of administrative clerical and operational duties, including filing, copying, answering phones, greeting visitors, scheduling, and maintaining the office condition.
  • Prepare letters, memos, general correspondence, and reports from rough drafts or detailed instructions. Proofread final correspondence.
  • Maintain websites and portal related to the work of the President’s Office.
  • Assist with a timeline of projects and events that are sensitive to a completion date (i.e., board meetings, “Society of World Changers” event, etc.)
  • Supporting the VP for External Affairs to plan, organize, and manage communication elements from the President’s Office.
  • Maintain and update External Affairs KPI dashboard.
  • Assist with managing department budget.
  • Facilitate communication between the President’s Office and marketing departments to create promotional pieces, programs, announcements, brochures, etc.
  • Other responsibilities and duties as assigned.

Education

  • Bachelor’s Degree Required

Experience

  • Must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.
  • Minimum of 5 years of secretarial, public relations, event planning, and marketing.

Required Skills

  • Demonstrate a strong understanding of business English, including commonly accepted rules of grammar, spelling, and punctuation. Must have excellent written, oral, and interpersonal communication skills
  • Embrace and clearly articulate the mission, vision, and values of the University.
  • Ambitious, Self-starter
  • A high degree of confidentiality is required
  • Well organized and able to effectively manage multiple tasks at one time
  • Ability to develop and organize events
  • Experience in managing budgets and reports
  • Time management and proficient attention to detail
  • Excellent customer service and social skills
  • Problem-solving, creative thinking, and leadership abilities
  • Ability to work effectively in a team environment
  • Competent computer knowledge, including such programs;
  • Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
