Summary of Position:    The Events Assistant position is a part-time, temporary (anticipated Sep-Dec 2021) role to assist with special events coordinated through the President’s Office.

Duties and Responsibilities

  • Collecting and organizing contact information for groups that are hosted by the President’s Office and/or the President’s spouse, including but not limited to events for the Board of Trustees and their spouses, the LOL Group (IWU women leaders), and the NU2IWU group (new women faculty), and various student groups.
  • Make and send invitations; track RSVPs.
  • Communicate with Pioneer Catering Services and Conference Services, Facility Services, regarding all details of event i.e. dates, times, location, total head counts, set-up and tear-down, menus, dietary restrictions, signage, printed place cards, account# to be charged.
  • Planning and preparing for logistical details of special events (such as BOT events), including but not limited to outings, reservations, travel to and from venue, accommodation as needed, any special speakers, or student activities.
  • Assist the President’s Office/President’s Spouse in the preparation of special communications around special times of the year, including but limited to the preparation of the President’s IWU Christmas cards (e.g., ideas for design, written greeting, and favorite recipe cards, addressing and mailing).
  • Assist in the planning and implementation of the IWU employee Christmas party, invitations, planning menu, RSVPs. Coordinating with Conference Services.
  • Communicating with special guest that may require accommodations in the President’s home.
  • Other duties as assigned.

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.


  • High school diploma required; Associates or Bachelor’s degree preferred


  • Prior experience and interest in event planning
  • High skill level in organizing, planning, and implementation of administrative procedures and adept at maintaining systems for easy access to information and data
  • Excellent graphic design and communications skills
  • Demonstrated ability to work effectively with individuals from diverse backgrounds and cultures
