Job Title: International Student Program Residency Assistant Operations Manager

Summary of Position:    The ISP Residency Assistant Operations Manager plays a pivotal role in the daily execution of residency programs at a specific education center. Reporting to the ISP Operations Manager, this position provides essential administrative and operational support to ensure a successful in-person experience for international students, faculty, and guests. The Assistant Manager is responsible for the hands-on operation of residency systems, assisting with student and faculty needs, and ensuring the facility is prepared for all residency activities.


Duties and Responsibilities

  • Execute site-level residency systems:
    • Assist with performing daily tasks required for residency systems, including accurate attendance record keeping, student ID production, and distributing student/faculty communications as directed by the Operations Manager
  • Support student success and communication:
    • Provide direct guidance and support to students regarding residency services and attendance matters
    • Serve as a point of contact for routine student inquiries at the site
  • Assist with faculty support:
    • Support the Faculty Support Team by preparing academic supplies, assisting with supply distribution, and participating in faculty training sessions as needed 
  • Facility and hospitality coordination:
    • Assist in preparing the building for residencies, including room set-ups and hospitality efforts
    • Monitor the condition of furniture and equipment to ensure they meet program standards
  • Incident support and protocol adherence:
    • Support the Operations Manager in following response protocols for on-site incidents, ensuring accurate documentation and immediate reporting of any concerns
  • Administrative support:
    • Provide backup administrative assistance to other Residency Team and Regional Operations Team members
  • Utilize AI tools to enhance operational efficiency:
    • Use AI tools to support daily work activities, enhance output quality, and improve efficiency within defined processes and guidelines

Education

  • Bachelor’s degree required

Experience

  • Experience in an administrative, customer service, or support role where you have demonstrated reliability, attention to detail, and the ability to manage multiple tasks simultaneously
  • Experience in maintaining records, databases, or systems and using basic organizational tools to keep operations running smoothly
  • Preferred experience working in a team environment with diverse colleagues or in a role that required strong interpersonal skills and cultural awareness

Required Skills

  • Possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement
  • Exceptional attention to detail and the ability to follow standardized procedures and protocols with accuracy and consistency
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent productivity software
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage competing deadlines in a fast-paced environment
  • Excellent interpersonal and communication skills, with a genuine commitment to providing welcoming and supportive service to students, faculty, and staff
  • A "continuous learner" mindset, with the ability and desire to learn new software, AI tools, and university systems
  • Physical capability to assist with facility set-up and event logistics, including standing for extended periods and lifting materials as needed
  • Demonstrated commitment to student success and supporting the mission of international education
  • Ability to work a flexible schedule, including required Friday and Saturday hours during residency periods (approximately 30 times per year)
  • Ability and willingness to travel to regional residency locations as needed, including occasional overnight stays
