Summary of Position: The Operations and Project Manager for the School of Theology and Ministry provides leadership to the day-to-day operations of the school and provides administrative support for co-curricular programming throughout the school. In addition, this position serves as the administrative assistant to the dean of the school.
Duties and Responsibilities
Manage the day-to-day operations of the School of Theology and Ministry
Manage STM calendar and relationships between Academic Programs, Imaginarium, and Youth Ministry Events
Coordinate with the STM Podcast Studio Manager regarding scheduling, purchase requests, and required usage forms
Coordinate with multiple IWU administrative staff and organizations as necessary for system maintenance and event planning
Oversee financial reporting
Track STM budgets (both Academic Programs and Youth Ministry Events) related to operations, programming, and grants. This includes reconciling credit cards, formulating revenue/expense statements, and assisting with grant financial summative reports
Work alongside STM faculty and staff to pay and reimburse approved expenses
Prepare monthly and annual budget reports for STM Academic Programs and STM Youth Ministry Events
Set up and maintain project management systems to ensure institutional and budget alignment is maintained
Meet quarterly with the IWU Grants office concerning grants that are supported by the operations and project manager
Coordinate the STM Academic Programs endowed scholarships and Wesleyan Grant process
Facilitate pre-planning and coordination meetings
Collect, organize, and communicate information to assist the STM Chair of Scholarships
Track all applicants to the Pastoral Ministries Program
Develop professional systems and processes
Conduct follow-up efforts that foster continuous improvement
Coordinate with the IWU Financial Aid Office concerning the distribution of the Wesleyan Grant
Provide support for STM co-curricular events
Work closely with various leadership teams throughout STM assigned to deliver events
Attend all faculty staff meetings, and meetings related to planning and logistics associated with co-curricular events for Academic Programs
Attend and support co-curricular retreats and STM special events as needed. This position requires occasional evening and weekend hours
Conduct follow-up efforts that foster continuous improvement
Hire, train, and supervise student workers for STM Academic Programs
Assist the Dean of the School of Theology and Ministry

Education
Associates or Bachelor's preferred
Experience
Minimum of five (5) years in professional administration; experience in higher education administration preferred
