Summary of Position:    The Coordinator of Financial Aid Systems and Technology position combines Financial Aid Counselor responsibilities with system, technical, and documentation needs of the N&G Financial Aid Office. The Financial Aid Counselor role serves Indiana Wesleyan University’s National & Global Campus student population by helping them navigate federal, state, and institutional student aid application processes, awarding federal, state, and institutional student financial aid, and communicating financial aid information and concepts to students and colleagues while respecting student privacy and security.

In addition to possessing federal, state, and institutional financial aid administrative knowledge, the Coordinator role serves students and peers in an enhanced technical function. This technical role requires systems knowledge and technical aptitude for working effectively with data and systems that support the overall work of the financial aid office. It involves ongoing maintenance and monitoring of all electronic records transmissions and oversight of all financial aid office data and systems tools and solutions. Strong analytical and problem-solving skills are needed for ongoing system support, along with the ability to communicate technical information clearly via various communication channels. The ability to design timely solutions related to accessing information and data relevant to the needs of the financial aid office is highly valued in this position.

Duties and Responsibilities

  • Fulfills Financial Aid Counselor roles, functions, and expectations as needed by the financial aid office 
  • Monitor the import/export of files and processes related to data communications with the U.S. Dept. of Education and other federal and state agencies 
  • Coordinates with Technology Coordinator and IWU-Marion Information Specialist to ensure technical procedures used work cooperatively for both National & Global and IWU-Marion campuses 
  • Maintains, updates, and enhances the use of Microsoft Office (primarily Excel) tools, Colleague® by Ellucian software, and any other technology tools and software used for business processes 
  • Creates and provides information reports and queries using MS Query, MS Excel, MS Access, Power BI, Smartsheets, Colleague® by Ellucian, and other reporting and data analysis tools 
  • Assists with fund reconciliations and troubleshoots student aid delivery tasks as needed 
  • Troubleshoots issues with software and hardware systems and serves as liaison with University Information Technology and/or Technology Coordinator as needed 
  • Provides support for letter generation process and all technical needs of the document imaging system
  • Work in conjunction with Director, Assistant Directors, and Coordinators to manage and create documentation of office procedures related to technology tools
  • Ensures the accuracy of the IWU Financial Aid portal and financial aid information on the IWU website 
  • Assess how the implementation of new technology systems (e.g. Salesforce) by other N&G departments impact financial aid processes/systems and make adjustments accordingly 
  • Provides training on new technology and efficiencies for the financial aid counselor role
  • Attend pertinent workshops and/or conferences related to financial aid technological needs
  • Requires some evening work and occasional travel; represents the office in outreach events as needed 
  • A university-issued laptop computer is provided due to the occasional need to work remotely as required or permitted by supervisor and when it enhances office productivity 
  • Other duties as assigned

Education

  • Bachelor’s degree required

Experience

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Minimum of three (3) years financial aid experience at IWU or another college/university or demonstrated Coordinator-level proficiency
  • Student financial aid administration experience or ability to thoroughly acquire
  • MS Query, MS Access, MS Excel, Power BI, Smartsheets and other report writing and data analytics experience desired
  • Experience working with the Colleague® by Ellucian software desired
