Summary of Position:    The Registrar Operations and Reporting Specialist is a pivotal role within the Registrar’s Office, responsible for managing and ensuring the accuracy of critical academic processes and reporting functions. This position focuses on Clearinghouse reporting, developing and maintaining master schedules, and supporting key functions such as degree audit coding, IPEDS and Census reporting, and catalog preparation. The specialist will also manage specific communications, such as the Sections@indwes.edu email, and play a vital role in student registration processes.


Duties and Responsibilities

  • Clearinghouse Reporting:
    • Oversee and manage all Clearinghouse reporting activities for IWU Marion, ensuring data accuracy and timely submission 
  • Master Schedule Development and Section Creation:
    • Develop and maintain master schedules for the academic year, working one year in advance to ensure all schedules are accurate and approved
    • Coordinate with academic departments to gather necessary information and make schedule adjustments as needed
    • Build and update courses and course sections, coordinating with academic departments to ensure offerings align with student needs and institutional goals
    • Build and manage Global Studies sections, Alternative Course Offerings (ACO), and Independent Learning Contracts (ILC) as approved, coordinating with relevant departments and ensuring alignment with institutional goals 
  • Degree Audit Coding & Colleague Management:
    • Code Degree Audit changes into the Colleague system, ensuring that degree requirements are accurately reflected
    • Assist in the preparation and launch of the academic catalog, ensuring all course and program information is accurate and up to date 
  • IPEDS & Census Reporting:
    • Support the preparation and submission of IPEDS and Census reports, collaborating with institutional research teams to ensure compliance and accuracy
  • Communications Management:
    • Manage the Sections@indwes.edu email, responding to inquiries and coordinating course section updates with faculty and staff
    • Collaborate with faculty at the start of each semester to ensure non-attendance reporting is completed in a timely manner o Manage and update the Registrar’s Office SharePoint site, ensuring it is current and accessible
    • Communicate with faculty regarding missing grades
    • Set up division chair/secretary/dean/advisor access in CORM & AROR 
  • Enrollment Reporting & Registration Support:
    • Create and maintain a system to provide daily enrollment reports and other essential information to university stakeholders
    • Support the conferral process by ensuring all necessary documentation and data are processed accurately
    • Run the Class level update (CLUP) after each conferral
    • Assign priority registration for all students each semester, working with the advising team to ensure student needs are met
  • Other Duties as assigned by the Assistant Registrar of Technology or by the University Registrar

Education

  • Bachelor’s degree required; Master’s degree preferred

Experience

  • Experience in academic administration, registrar’s office operations, or a related field
  • Strong proficiency in data management systems, particularly Colleague and SharePoint
  • Familiarity with IPEDS, Census reporting, and other institutional reporting requirements
  • “Demonstrated ability to work effectively with individuals from diverse communities and cultures.”
  • Preferred Experience
  • Experience in higher education administration, particularly in a registrar’s office setting
  • Knowledge of course scheduling, degree audit systems, and catalog management
  • Experience with student information systems and report-generation tools
  • Ability in Microsoft Office (Outlook, Powerpoint, Word)
  • Experience with Power Bi, Access, Excel, Querying information, and SharePoint are not required but preferred
