Job Title: Administrative Assistant to the Dean

Reporting Relationship: Dean of the School of Integrated Learning and Development

Unit: National & Global

Department: School of Integrated Learning & Development (SILD)

Campus Location: NGM Building

Summary of Position:    This position provides administrative and professional support to the Dean of the School of Integrated Learning and Development. This role serves as a point of contact between the Dean and others internally and externally, assisting with a variety of administrative responsibilities, many of which are sensitive and confidential in nature. This position manages administrative functions, serves as an information hub on behalf of the Dean for the School, and maintains a high level of awareness of the dean’s priorities. This person must mange competing priorities in a fast-paced environment, be able to evaluate and set work priorities according to the needs of the school and office, and be able to work independently.


Duties and Responsibilities

  • Provide daily administrative and professional support to the Dean 
  • Coordinate all elements of the Dean’s complex calendar including monitoring and reviewing meeting requests, resolving scheduling conflicts, establishing appointment priorities, and scheduling meetings for internal and external partners 
  • Provide support for special events and projects of the Dean, including development of meeting agendas, management of meeting logistics, and preparation and distribution of meeting materials
  • Process invoices and reimbursements and approve expenditures on behalf of the Dean for special events as well as day-to-day operations 
  • Assist in managing and maintaining the School's internal Portal (SharePoint) site and School handbook 
  • Arrange and confirm travel, prepare and process travel approvals, related expenses, prepare itineraries, and provide meeting materials 
  • Manage and maintain digital and physical files for office data and confidential information, including agendas and minutes for meetings
  • Other duties as assigned

Education

  • Bachelor’s degree (or equivalent experience) required

Experience

  • Experience as an Administrative Assistant required

Required Skills

  • Demonstrated ability to collaborate across departments to ensure projects are completed
  • Demonstrated ability to manage multiple projects effectively and efficiently
  • Demonstrated ability to be a self-starter, self-manage, and provide administrative support
