Summary of Position:    The Office Manager plays a vital role in the smooth operation and success of the Indiana Wesleyan University regional education and conference centers. Each center strives to partner with the community to meet its educational needs. Providing professional meeting space allows IWU to build these partnerships while serving the local community.

This role is suited for someone who is energetic and highly relational, organizationally gifted, embraces variety in their day, and has a passion to serve. In addition, skills related to managing multiple priorities, problem-solving, property management, tenant relations, customer service, team dynamics, and creating a positive culture will help make the Office Manager successful and feel fulfilled.

The Office Manager provides administrative support to regional center leaders and may be involved in assisting with the daily functions of more than one regional center.


Duties and Responsibilities

  • Administrative Responsibilities
    • Function as effective communication hub for the center(s) and contribute to collaborative/healthy relationships with other IWU employees
    • Assist with problem resolution in a professional manner while maintaining confidentiality of vital information
    • Seek opportunities to grow professionally and stay up-to-date about city/community offerings
    • Represent the University in a positive manner to internal and external customers through Christian conduct
    • Maintain a budget awareness and participate in financial reporting processes
    • Provides administrative support to the Regional Venture leadership which might include, but is not limited to clerical tasks, travel arrangements, handling of confidential materials
    • Assist Director and VOM/RSMs in other ways as needed 
  • Project Management and Research
    • Perform supportive tasks related to Regional Leadership project management and research
  • Campus Operations
    • Manage day to day office functions, and, if applicable, tenant relationships and needs
    • Work collaboratively with supervisor to manage building and grounds in order to create and maintain an inviting, professional, and safe environment
    • Support supervisor in troubleshooting building technology in cooperation with IWU Technology Services
    • Stay abreast of and communicates building usage needs for staffing purposes
    • Support students’ and faculty’s operational and spiritual needs
    • Stay informed on and follows all Emergency and Risk Management protocols at the IWU, local, state, and federal levels 
  • Conferencing Services
    • Coordinate with supervisor in all aspects of conferencing including but not limited to: inquiries, scheduling, invoicing, correspondence, building tours, room setups, cleaning, day-of service, meeting revenue goals, promotion and marketing, and nurturing networking relationships 

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • Bachelor’s Degree Preferred

Experience

  • Two (2) years of experience in a professional and/or customer service-related setting

Required Skills

  • Communication skills and ability to work with diverse types of people
  • Administrative skills (e.g., ability to self-start, multi-task, prioritize tasks, and attention to detail and accuracy)
  • Excellent organizational and planning skills (e.g., organization of shared space, time management, event planning)
  • Proficient with MS Office suite and comfortable using a variety of technology (e.g., audio visual equipment, teleconferencing)
  • Capable of working with minimum supervision
  • Ability to work with teams
  • Ability to problem solve, interpret instructions and data, and deal with unknown variables
  • Able to perform light physical labor with conferencing and classroom set ups
