Job Title: Grant Coordinator

Reporting Relationship: Director of Grants and Sponsored Programs

Unit: Central Administration

Department: Grants Office-CADM

Campus Location: Maxwell Center

Summary of Position:    The Office Manager will be responsible for providing comprehensive administrative support for pre-award and post-award sponsored program activities. This role will be pivotal in ensuring smooth operations and compliance within the Grants Office. This position will collaborate closely with researchers, administrators, and regulatory bodies to facilitate efficient grant proposal development, post-award compliance, and ethical oversight of human subjects research. This position requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities in a fast-paced environment.


Duties and Responsibilities

  • Office Management:
    • Oversee general administrative tasks, including scheduling meetings, managing calendars, coordinating travel arrangements, ordering supplies, maintaining office equipment, and ensuring a well-organized and efficient office environment
  • Records and Database Management:
    • Maintain accurate and up-to-date records of grant proposals, awards, compliance activities, and IRB protocols in IWU systems
  • Grant Support:
    • Coordinating and supporting grant proposal development activities in the areas of prospecting, reviewing funding opportunities, interpreting guidelines, managing proposal timelines, assembling required documents, and ensuring compliance with funding agency regulations
  • Post-Award Compliance:
    • Implement and monitor internal controls related to post-award compliance, such as time and effort reporting, conflict of interest forms, and other documents to ensure adherence to funding agency regulations
  • Institutional Review Board (IRB) Support:
    • Provide administrative assistance to the IRB office to ensure compliance with ethical standards and regulations for human subjects research
    • Assist with IRB protocol submissions, manage proposal workflows, maintain records, coordinate IRB meetings, record meeting minutes, and assist with protocol amendments or renewals

Education

  • Bachelor's degree in a relevant field (e.g., business administration, public administration). Knowledge of research administration and IRB processes is desirable

Experience

  • Proven experience in office management, research administration, and/or IRB support
  • Recognizing and valuing the unique strengths and perspectives of individuals from diverse backgrounds within a diverse and inclusive workplace

Required Skills

  • Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously
  • Clear and concise written and verbal communication skills to effectively interact with diverse stakeholders
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a dynamic environment
  • Problem solving and resourcefulness with challenges that may arise in the workplace, taking initiative and seeking guidance when needed
