Job Title: Administrative Assistant

Reporting Relationship: Vice President for Academic Affairs

Unit: Wesley Seminary

Department: Seminary Administration

Campus Location: Wesley Seminary

Summary of Position:    This individual will serve as the Administrative Assistant for the Seminary Academics Team. They will provide administrative assistance to the Vice President for Academic Affairs (VPAA), faculty, and other related positions.


Duties and Responsibilities

  • Calendar management, meeting management, travel planning, etc. for Seminary VPAA
  • Execute mass communications from the VPAA
  • Meeting Management (Recording and distributing minutes, attending meetings as assigned)
  • Digital Communication (Posting content to portal, emails/reminders to students or faculty, etc.)
  • Travel Administration (Risk Management responsibilities, individual faculty travel arrangements, such as air, hotel, car rental, IWU vehicle requests, etc.)
  • Hiring and oversight of student workers and interns
  • Maintain Seminary Directories and Databases
  • Liaison to IT for phones and other technological issues
  • Assist with group starts, graduation, consecration, onsite class meetings, and hospitality
  • Provide assistance with information gathering and drafting of reports for the Academic Team
  • Program (DMin, MDiv, MA) Management/Communications (Managing speaker-contracts, communicate with guest lecturers, and setting up risk management details for their travel)
  • Organize, and maintain course folders, faculty data, and other pertinent information
  • Assist in the management of faculty incentive awards and professional development
  • Reconcile Procurement Cards and reimbursements for Academic Team
  • Other duties as assigned

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • Bachelor’s Degree is preferred

Experience

  • Minimum of three (3) years of experience in office settings preferred
  • Bilingual (Spanish/English or French/English) candidates are encouraged to apply

Required Skills

  • Superior oral and written communication skills in English.
  • Excellent computer skills with working experience in a variety of applications, especially Word and Excel
  • Ability to relate and interact well with pastors, ministerial students, Seminary faculty/staff, and IWU community
  • Excellent organizational skills
  • Ability to maintain confidentiality and compliance with FERPA laws
