Job Title: Enrollment Specialist

Reporting Relationship: Coordinator of Class Start and Systems Support

Unit: IWU - National & Global

Department: N&G Student Services

Campus Location: NGM Building

Summary of Position:    Coordinate all processes related to new class starts. This includes creation of section and meeting records, registration, notification to other offices, and preparation of the electronic files for quality review.

Duties and Responsibilities

  • Upon notification that a cluster is starting, create the term, the cluster, and all section and meeting records identified with the cluster in the Colleague system 
  • Work with marketing office and admissions specialists to verify that class start lists are received in a timely manner and are accurate 
  • Check additions to the class start list to ensure that students are eligible to begin the specified program 
  • Upon receipt of the class start list, enter program information necessary for registration and billing in the colleague system 
  • Assign students to the appropriate cluster, creating the official roster 
  • Notify all appropriate offices when official roster is ready for the cluster 
  • Register students for the entire core program including specialization areas, determining if student needs to sit out of any courses. if so, send appropriate email 
  • Understand the degree audit for each program so that discrepancies in transfer credit and registered courses can be resolved immediately 
  • Create a new degree audit, check the audit for discrepancies, and resolve any discrepancies
  • Image class start documents into the student's electronic file when necessary 
  • Maintain a strict time frame so that all processes are done in a timely manner 
  • Assist in special projects as assigned by the Coordinator of Class Start and Systems Support

High school diploma is required.
